Who we are
ROS Mortgages Limited is a mortgage and protection advice firm, registered in England and Wales under company number 16402797, with its office at New City House, 57–63 Ring Way, Preston PR1 1AF and its registered office at 20 Heol Penycae, Gorseinon, Swansea SA4 4ZB.
We are an Appointed Representative of Arkke Capital Ltd, which is authorised and regulated by the Financial Conduct Authority (FRN 952414). ROS Mortgages Limited is the data controller for the personal information you give us, and we are registered with the Information Commissioner’s Office under reference ZC068187.

What we collect
To give you advice we normally need: your name, date of birth, address history and contact details; your income, outgoings, savings and existing credit; details of the property and of any mortgage, protection or insurance you already hold; your employment or business; and identity documents such as a passport, driving licence or visa.
For protection and insurance advice we also need information about your health, your family history and lifestyle matters such as smoking. This is special category data, and we only collect and use it with your explicit consent so that we can find cover that will actually pay a claim.
Why we use it, and our lawful basis
- •To give you advice and arrange a product — because it is necessary to take steps at your request before entering into a contract, and to perform that contract.
- •To meet our legal and regulatory obligations — identity and anti-money-laundering checks, record keeping, and the file standards our regulator requires.
- •For our legitimate interests — running and improving the firm, keeping records of the advice given, and contacting you before a rate or policy ends so that you are not moved onto a worse deal by default. You can object to this at any time.
- •With your consent — for health and lifestyle information, and for any marketing you have asked to receive. Consent can be withdrawn at any time without affecting the advice you have already had.
Where your information is held
Your information is held inside our client management system and the secure portals we use to run cases, all of it within the United Kingdom. It is not stored or accessed outside the UK. Access is limited to the people working on your case, and every system we use is covered by a contract requiring it to protect your information.

How long we keep it
We keep your file while we are advising you and for six years after our relationship ends, because a recommendation can be questioned or reviewed long after it was made. Protection and insurance records are kept longer, since a claim can arise many years after the policy was arranged. When we no longer need your information it is securely deleted.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it, ask us to restrict how we use it, object to our using it, or ask for it in a portable format. You can also withdraw consent where we relied on it.
Write to office@rosmortgages.com. We will respond within one month. There is no charge.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.
If you set a fix ending reminder
What we collect. Your name, email address, and if you choose to give them, your mobile number and current lender, together with the month your mortgage deal ends and a record of the permission you gave us.
Why, and our lawful basis. To contact you once, around six months before your deal ends, to offer a review of your mortgage. We rely on your consent, which you give by ticking the box on the form.
Where it is held. The form is sent by email to our office mailbox, and your details are kept with our other client records. They are not stored on our website.
How long we keep it. Until we have made the reminder contact, or until you ask us to stop, whichever comes first. If you then become a client, the retention periods above apply instead.
Withdrawing consent. Reply to any message from us, or email office@rosmortgages.com, and we will remove you from the reminder list.
If you apply to work here
Everything above is about people we advise. If you write to careers@rosmortgages.com, send a CV or message us about a role, this is what happens to that instead.
What we collect. Your name and contact details, your CV or whatever you send in its place, your work history and qualifications, and anything you tell us during an interview. If we offer you a position we will then need proof of your right to work in the UK, and the principal firm will need the information required to register you with the Financial Conduct Authority.
Why, and our lawful basis. Assessing whether you are suited to the role is our legitimate interest as a business that has to recruit. Checking your right to work, and the fit-and-proper checks a regulated firm must carry out before an adviser can give advice, are legal and regulatory obligations. We do not ask applicants for health information, and you should not send us any.
Who sees it. The directors and whoever is handling the vacancy. Nobody outside the firm sees your application unless you are offered a position, at which point the necessary details go to Arkke Capital Ltd as our principal firm so your registration can be arranged. We do not use recruitment agencies, we do not sell applicant information, and no automated system decides whether to interview you.
How long we keep it. If we do not take your application further we keep it for six months and then delete it, so that we can come back to you if something else comes up and so we can answer a question about the decision. Tell us at any point that you would rather we deleted it sooner and we will. If you join the firm, your application becomes part of your employment and regulatory file and is kept for as long as the rules require.

Cookies and website statistics
Our website uses cookies. How they work, which ones we use, and how to turn them off is set out in our cookie policy.
If you agree to measurement cookies, we use Google Analytics to see which pages are read and which are not. That is anonymous website traffic data, and it is processed by Google on servers outside the United Kingdom. It is separate from the client information described above, which stays in our own systems and is not sent to Google. If you do not agree, no analytics code is loaded at all.
